Refund & Cancellation Policy.

This Refund Policy explains how cancellations, refunds, payment adjustments, advertising spend, third-party charges and custom digital services are handled by Sphere Queen Private Limited.

Transparent payment terms Service-based refund assessment Clear third-party cost rules
Last Updated: 12 October 2026
Important: Refund eligibility depends on the service purchased, work already completed, resources reserved, third-party costs incurred and the commercial terms agreed in the relevant proposal, quotation, invoice, statement of work or service agreement.

1. Overview

This Refund Policy applies to services purchased directly from Sphere Queen Private Limited unless different refund or cancellation terms are specifically agreed in writing.

Our services may include performance marketing, Meta Ads and other paid advertising services, website and landing page development, application development, workflow automation, branding, graphic design, content, video production, cybersecurity, IT solutions and related consulting or digital services.

Because many of our services involve custom work, strategy, professional time, creative production, technical execution and reserved resources, refunds are assessed according to the actual status of the project.

2. Refund Eligibility

A refund may be considered where appropriate if:

  • Payment has been made but Sphere Queen has not yet started the agreed work and no non-refundable costs have been incurred.
  • A duplicate or incorrect payment has been received.
  • Sphere Queen is unable to deliver a paid service for reasons attributable to us and an alternative solution cannot reasonably be provided.
  • A refund is otherwise required under applicable law or expressly agreed in writing.

A refund is generally not available solely because expected marketing, sales, revenue, lead generation, ranking or other commercial results were not achieved.

Digital marketing and business performance depend on multiple factors including market conditions, competition, pricing, offer quality, audience behaviour, advertising platforms, budgets, website performance, client follow-up and other factors outside our direct control.

3. Cancellation Before Work Starts

If you cancel a project before work has started, you may request a refund of eligible amounts that have not already been used or committed.

However, if activities such as discovery, onboarding, strategy, research, account review, planning, consultation, resource allocation or other initial work have already begun, the reasonable value of this work may be deducted from the refundable amount.

Any third-party fees or non-recoverable costs already incurred will also be deducted.

4. Cancellation After Work Has Started

Once work has started, amounts relating to completed work, professional time already spent, approved deliverables, reserved resources or committed project capacity are generally non-refundable.

If a project is cancelled part-way through and the applicable project terms permit a payment adjustment, we may calculate any eligible remaining balance after deducting:

  • Work already completed.
  • Strategy, research or consulting already performed.
  • Design, development or production already completed.
  • Resources reserved for the project.
  • Third-party costs.
  • Other non-recoverable expenses.

A change of mind, change in business priorities or a decision not to use completed work does not automatically create a right to a refund.

5. Milestone Projects, Retainers & Recurring Services

Milestone-Based Projects

Amounts paid for milestones that have already been completed, approved or substantially delivered are normally non-refundable.

If payment has been made for a future milestone that has not yet started, refund treatment will depend on the written project terms and whether resources or costs have already been committed.

Monthly Retainers

Monthly retainers cover professional services, team availability, campaign management, consultation and/or reserved capacity during a specific billing period.

Once the relevant billing period has started and work or reserved capacity has been provided, that month's retainer is generally non-refundable.

Cancellation for future billing periods should follow any notice period specified in the applicable proposal, invoice or agreement.

6. Advertising Spend & Third-Party Charges

Advertising spend and other third-party costs are separate from Sphere Queen's professional service fees unless explicitly stated otherwise.

Examples include:

  • Meta Ads advertising spend.
  • Google Ads advertising spend.
  • LinkedIn or other paid media costs.
  • Website hosting.
  • Domain registrations.
  • Premium plugins and software licences.
  • SaaS platforms.
  • Payment gateway fees.
  • Stock images, videos or other licensed assets.
  • App store and platform charges.

Amounts already charged by a third-party platform are subject to that provider's own refund policy.

Sphere Queen cannot guarantee or independently issue refunds for funds controlled by Meta, Google, hosting companies, payment gateways or other external platforms.

If Sphere Queen holds an identifiable unused amount belonging to the client that has not been spent or committed, any eligible return will be handled after reconciliation.

7. Custom Digital Work & Deliverables

Many Sphere Queen services involve customised digital work created specifically for the client.

This may include:

  • Websites and landing pages.
  • Applications and software.
  • Automation workflows.
  • Advertising campaigns.
  • Creative designs and advertisements.
  • Videos and AI-generated creative assets.
  • Brand identity materials.
  • Marketing strategies.
  • Content and copywriting.
  • Technical implementation and code.

Once custom work has been substantially completed, delivered, approved, published, launched or transferred, payments relating to that work are generally non-refundable.

Where revisions are included within the agreed scope, we will normally attempt to resolve legitimate quality concerns through the agreed revision process before considering another remedy.

8. Client Delays, Missing Access & Project Pauses

Refunds are generally not available where a project is delayed because the client has not provided required information, content, credentials, access, approvals, payments, feedback, legal clearance or other project dependencies.

If a project remains inactive for an extended period because of client delays, Sphere Queen may reschedule the project depending on team availability.

Additional charges may apply if significant reactivation, redesign, redevelopment or additional work becomes necessary.

9. If Sphere Queen Cannot Deliver an Agreed Service

If Sphere Queen is unable to provide a paid service for reasons directly attributable to us and the issue cannot reasonably be resolved through rescheduling, replacement work, revision or another mutually agreed solution, the client may be eligible for an appropriate refund or credit for the undelivered portion of the service.

Any refund calculation may take into account work already performed and costs already incurred.

10. Duplicate, Excess or Incorrect Payments

If you believe you have been charged more than once or have accidentally paid an incorrect amount, please contact us as soon as possible.

After verification, any confirmed duplicate or excess payment that is not otherwise due may be refunded or adjusted against an outstanding invoice.

11. How to Request a Refund

To request a refund or payment review, contact:

Email: support@spherequeen.com

Please provide:

  • Your full name or business name.
  • Invoice or payment reference.
  • Service purchased.
  • Date of payment.
  • Amount paid.
  • Reason for requesting the refund.
  • Any supporting information relevant to the request.

We may request additional details to verify the transaction and project status.

Approved Refunds

If a refund is approved, we will normally attempt to return the eligible amount through the original payment method where practical.

The time required for the amount to appear in your account may depend on the bank, payment gateway, card issuer or financial institution involved.

Any non-refundable gateway charges, third-party fees or mandatory taxes will be handled in accordance with applicable law and the relevant commercial terms.

12. Payment Disputes & Chargebacks

If you believe there is an incorrect payment or unresolved service issue, we encourage you to contact Sphere Queen first so that we can review and attempt to resolve the matter.

Initiating a chargeback does not automatically cancel amounts legitimately due for services performed or costs incurred.

Where necessary, Sphere Queen may provide the payment processor, bank or other relevant party with supporting records such as invoices, communications, approvals, project status, agreements and deliverables when responding to a payment dispute, subject to applicable legal and privacy requirements.

13. Changes to This Refund Policy

Sphere Queen Private Limited may update this Refund Policy from time to time to reflect changes in our services, payment systems, business practices or legal requirements.

The updated version will be published on this page with the applicable revision date.

Changes to this public policy will not automatically override project-specific commercial terms that have already been separately agreed in writing.
